Privacy Policy

This is the Privacy Policy for Kafkai Giken, Inc., a company incorporated in Japan with the address FPG Links Jinnan 5F, Jinnan 1-11-4 Shibuya Tokyo 150-0041

Kafkai Giken, Inc. is a company that

  1. Develops and maintains Kafkai, a content operations service delivered as an MCP server and a supporting web interface.
  2. Develops and maintains the KaiMail SaaS.
  3. Develops and maintains the PuchiDen service.
  4. Does consultation on IT-related matters.
  5. Carries out systems development.

We use the personal information our customers entrust to us only to the extent needed to provide those services. We are aware that the most important asset that we have are the information given to us by our customers, and we take all reasonable and available security measures to protect that information. All our directors and employees understand our privacy policy and we execute it to the best of our ability.

  1. We collect, use or share personal information on a need-to-know basis, as required by the service we offer.
  2. We state the reasons we are collecting personal information clearly, and take appropriate measures so that the usage of this personal information does not exceed what we have particularly stated.
  3. We respect the relevant local Japanese laws and policies concerning the handling of personal information.
  4. We have built safety structures to stop personal information from being accessed without permission, leaked, lost or from being destroyed. We will also execute appropriate measures to put right in the case of issues concerning personal information.
  5. We will handle requests for the release of personal information, questions or complaints concerning our handling of personal information through our customer support representative.
  6. We continuously review our personal information management system and take appropriate measures to improve them.

This Privacy Policy sits alongside our Terms of Service, which govern your use of the Kafkai service itself.

Handling of Personal Information

Kafkai is delivered as an MCP server that your own AI agent connects to. That design has three consequences for your data, and we state them here before the detail below.

  1. We hold your project data and compute on it. A project holds what you put into it, and what we retrieve from the accounts you connect to it. The computation happens on our servers, not in your agent.
  2. We record every request made to the service. Credits are metered per request, so a record of what was called, when, and how much data came back is part of billing rather than an optional analytic.
  3. We return results to software we do not operate. You choose the agent. Once results reach it, what happens to them is between you and that agent's provider.

1. Purpose of use of Personal Information handled by our company

In this section, we state clearly the situations and the reasons why we collect Personal Information.

2. Other notification

  1. Provision and consignment

    We do not sell your personal information, and we do not provide it to third parties for their own purposes, except where you have consented or where the law requires or permits it. We do consign the handling of personal information, in whole or in part, to contractors where that is needed to achieve the purposes stated above — for example hosting, payment processing, email delivery, and the AI model providers described below. We select those contractors, bind them by contract, and supervise them.

  2. Providing your information is voluntary

    It is your option to provide your personal information, but please note that there will be the case that you will get less benefits by the result of failing to receive the process described above unless you do.

  3. Connected accounts

    Where you connect a third-party account or property to the Kafkai service, such as a Google Search Console property or a content management system, we access it only with the authorisation you grant, and only to the extent needed to provide the service to you. You may withdraw that authorisation at any time, either within the Kafkai service or with the provider of that account. Withdrawing it stops further retrieval; data already retrieved and held in your project can be deleted through the service or on request to the Privacy Help Desk below. We do not use data retrieved from your connected accounts to provide services to another customer, except in an aggregated or anonymised form that does not identify you, your projects, or your properties.

  4. Your own AI agent

    The Kafkai service returns its results to the AI agent, assistant, or other software that you connect to it. That software is chosen by you and is not operated by us. Once results are returned to it, the handling of that data is governed by your agreement with its provider rather than by this Privacy Policy. Separately from that, we use third-party AI model providers ourselves in order to deliver parts of the service, for example to produce helper prompts or to prepare competitor research. Where we do, data from your project may be sent to those providers, acting as our processors, for that purpose only.

  5. Credits and usage records

    Credits are consumed per request, so we record each request made under your credentials: which tool was called, when, how many rows of data were returned, and how many credits it cost. We keep the same record for credits you purchase or are granted, and for the balance that results. These records are used to bill you correctly, to show you your usage, to answer your questions about a charge, and to detect abuse. They are not used to profile you or sold to anyone.

  6. Handling outside Japan

    The Kafkai service is hosted in the countries listed in Clause 17 of our Terms of Service: Japan, the United States, and Singapore. Some of our contractors, including cloud hosting, payment processing, and AI model providers, are located in those countries or elsewhere. We identify the personal information protection regime of each country in which personal data is handled on our behalf and take security measures accordingly. Where the law requires your consent for a transfer of personal information to a third party in a foreign country, we obtain it before making the transfer. You can ask us at the Privacy Help Desk below for the country concerned and the measures taken there, and we will tell you.

  7. Retention and deletion

    We keep personal information only for as long as it is needed for the purposes stated above, or for as long as the law requires us to keep it. Project data is kept while your account is open, and you can delete a project through the service at any time. The Terms of Service set out when we may delete an inactive account and what happens to unused credits when we do; those rules are stated there rather than repeated here, so that only one document carries the number. Records we are required to keep for tax and accounting purposes are retained for the statutory period even after an account is closed. When personal information is no longer needed, we delete it or render it anonymous.

  8. What we do not do

    • We do not sell personal information.
    • We do not use one customer's project data or connected-account data to provide a service to another customer, except in an aggregated or anonymised form that does not identify anyone.
    • We do not use your project data or the content you connect to train our own models.
    • We do not read your project data except where it is needed to operate the service, to investigate a fault or an abuse report, or where you ask us to.
  9. Cookies and similar technologies

    Our website uses cookies and similar technologies. Some are strictly necessary for the site to work, such as keeping you signed in. Others send information about your visit to third-party providers: Google Analytics and Matomo for site analytics, Google Ads for advertising measurement, Rewardful for affiliate referral tracking, Profitwell for subscription analytics, and Tawk.to for the support chat window. You can review and change your choice for the marketing category at any time at Cookie Preferences, which is also linked in the footer of every page. The strictly necessary category cannot be switched off. The MCP server itself sets no cookies — your agent authenticates with a token, not with a browser session.

  10. Security measures

    We restrict access to personal information to the staff who need it, log access to our systems, encrypt data in transit, keep our software updated, and control physical entry to our premises. 3. Public announcements concerning personal information subject to disclosure by the company

With regard to requests about personal information provided by the company (i.e., information to be disclosed), disclosures, revisions, additions or deletions, discontinuation of utilization, erasures, and discontinuation of provisions to third parties ("Disclosures"), we will respond according to the following procedures.

    The purpose of use of personal information to be disclosed by the company is as described in 1. Purpose of Use of Personal information Handled by Our Company above within the following usage:

    • Personal Information acquired from the Kafkai service
    • Personal Information entered by customers into the Kafkai service, or retrieved from an account or property that the customer has connected to it
    • Personal Information acquired from business partners
    • Personal Information acquired at the time of recruitment and Interviews
    • Personal Information of employees
    • Personal Information acquired from Inquiries by email or websites, etc.
  3. Procedure for requesting Disclosures

    1. You can request for Disclosures by sending the request and the necessary documents to our Privacy Help Desk as stated below.
    2. When requesting for Disclosures, one of the following is required as a document for identity verification. (It is unnecessary to state one's permanent address.)
      • Copy of driver's license
      • Copy of passport
      • Copy of My Number Card (front side only — please do not send the back side, which shows the individual number)
      • Copy of resident's card
      • Copy of a health insurance certificate or certificate of eligibility (please mask the insured person's symbol, number, and the insurer number)
    3. In cases where Disclosures and Others are requested by an agent, two persons, the principal and the agent, are required to provide identity confirmation documentation as above. In the case of a voluntary agent, power of attorney is required. In the case of a legal representative, a copy of the documents such as a family register, a resident card, etc., or certificate of registration matters concerning adult guardianship will be needed.
    4. For notice of the purpose of use and disclosure of personal information, a handling charge of JPY1,000 (excl. tax) per request is payable, in postage stamps. No charge is made for a correction, an addition, a deletion, a discontinuation of use, or an erasure.
